Choosing a shopping center management company starts with defining the work you need it to perform. A newly opening mall, an established neighborhood center and a property undergoing repositioning can require very different teams. A useful selection process gives each candidate the same brief and tests whether its proposed people, reporting and fees match that brief.

Define the appointment before asking for proposals

Separate day-to-day operations, management advice and the owner's investment decisions. A consultant may review responsibilities and recommend improvements without taking over the site team. An operating manager may coordinate contractors and tenant requests without having authority to approve major capital expenditure. Write down the decision rights instead of relying on the service title.

For each activity, identify who performs it, who approves it and who receives the report. Include leasing coordination, tenant communications, purchasing, payment approval and technical oversight. When reviewing commercial asset management services, use this responsibility schedule to identify what the proposed appointment actually covers.

Check experience that resembles your property

A long project list is a starting point for verification. Ask candidates to identify centers with a comparable operating stage, customer base, tenant structure and building complexity. Establish exactly what they did at each reference property. Advising on a leasing campaign is different from managing a center through several operating cycles.

With the reference owner's permission, ask about a difficult period rather than only the opening event. How were missing information, tenant complaints or a budget overrun handled? What did the manager report, and what required the owner's decision? The answers help you understand how the team behaves when the original plan needs to change.

Meet the people who will deliver the service

Site staffing and central support

Meet the proposed center manager and the people responsible for technical coordination and financial reporting. Distinguish dedicated staff from shared support. Request a coverage plan for absences, turnover and out-of-hours escalation. A senior executive's participation in the pitch does not establish how often that person will work on your property.

For a cross-border appointment, agree working languages and reporting formats. Check who can communicate with local tenants, suppliers and relevant advisers. International experience is useful when the candidate can explain how it will be applied to the specific location.

Demonstrate the operating process

Give every shortlisted team the same practical scenario, such as a recurring tenant complaint that requires both technical and commercial follow-up. Ask it to show how the issue is logged, assigned, escalated and closed. Distinguish the time taken to acknowledge a request from the time taken to resolve its cause.

Where cleaning, security or maintenance is outsourced, identify who checks the contractor's work. Ask how competitive quotations, related-party suppliers and expenditure outside the approved budget are handled. The owner should be able to follow the decision trail.

Evaluate reporting with a sample

Request an anonymized example of the report you would receive. A useful real estate financial reporting package separates billed rent, cash collected, overdue balances and budget variances. It should also distinguish space under lease from space that is open and trading.

For each proposed performance indicator, agree the definition, period, data source and responsible person. A count of visitors is not the same as a count of unique customers. A change in occupancy cannot be interpreted properly if the underlying area definition has changed. Ask the team to explain one variance and show the resulting action, owner and review date.

Compare total cost on a common basis

Ask each candidate to complete the same cost schedule. Separate the management fee from site payroll, central support, software, travel, mobilization and third-party services. Identify taxes and reimbursable costs in the proposal, with local advice where needed. An apparently lower fee may simply leave more items outside the appointment.

If a performance fee is proposed, examine its definition before discussing its percentage. Agree the starting position, calculation period and treatment of decisions outside the manager's authority. A bonus based only on signed occupancy may reward a different outcome from collecting rent or bringing stores into operation.

Make the transition part of the selection

Ask for a property-specific handover plan. It should identify the records, people and open issues that must move from the existing arrangement. Relevant records can include tenant and supplier agreements, receivables, equipment inventories, maintenance history and digital access rights. Assign a person to confirm each transfer and record gaps in the opening position.

Agree reporting dates, review meetings, fee changes and the process for addressing service failures. Contract duration, renewal, termination and liability provisions need review against the property's jurisdiction and existing agreements. There is no universal contract length that suits every shopping center.

Discuss data ownership and export formats at the start. A dashboard is less useful if the owner cannot obtain the underlying records or transfer them when the appointment ends. Access arrangements should protect tenant and commercial information while allowing the agreed oversight.

Use a documented shortlist decision

Give each candidate equal access to the relevant property information. Record strengths, unanswered questions and evidence alongside the commercial proposal. Treat a missing document as an unresolved item rather than silently scoring it as satisfactory. Make the final choice against the agreed brief, then carry the accepted commitments into the appointment documents.

Shopping center management company FAQs

First compare the same service scope and total cost. Staffing, systems and third-party services may sit outside the quoted fee, so headline prices alone can be misleading.

Yes. Define responsibilities and approval rights for each activity. Shared delivery works more clearly when tenant communications and reporting have named owners.

Compare progress with the recorded starting position and agreed work plan. Separate inherited arrears and maintenance issues from new work, and review the reasons behind changes in the indicators.
